Sales cart & checkout

The Sale is the POS transaction workspace. Use it for any mix of services, retail products, vouchers and packages. A Visit still tracks the people and services being delivered; it is not a second cart.

Start or open a Sale

  • Creating a walk-in Visit automatically creates its linked Sale with the same service lines.
  • The Sale cart is already on the Visit detail page — there is nothing to open. Services added later appear once in that same Sale.
  • For retail, voucher or package only, open New sale from the POS navigation. The operator picker opens immediately. This shared terminal does not keep that operator for the next sale; every new sale asks again. Cancelling the picker returns to the previous screen. If this terminal still has an unfinished draft, you can continue it or start another sale after choosing the operator for this action.
  • Pay-at-store online orders (vouchers and packages reserved on the public site) are settled on the Online orders page, not here.

One family booking shares one Appointment, Visit and Sale. Each service line still shows its own guest and can have a different start time.

Receive a Kiosk Sale handoff

  1. Ask the Customer for the handoff code shown by the assisted Kiosk.
  2. Open New sale, enter or scan the code under Receive a Kiosk sale, then select Claim sale.
  3. Enter your personal PIN. You must be on an active shift at the same Store.
  4. Confirm the Customer and service lines shown in the claimed Sale before checkout.

The code expires after ten minutes and can be claimed once. A failed or expired code does not change the draft already on screen; prepare a new handoff at the Kiosk when needed. Claiming transfers the draft into the POS workflow — it does not take payment or complete the Sale. Pay-at-store online orders still belong on the Online orders page.

Add items

Search or scan, then choose the customer or beneficiary for that line:

LineWhat happens after checkout
ServiceRemains linked to its Service record and guest
RetailStock is checked and decremented
VoucherA voucher is issued; digital delivery follows its own status
PackageA package is created for its owner and permitted beneficiaries

A retail item without a retail price, or with zero stock, shows as unavailable.

Until the Sale is closed, use Add, Cancel or Replace on a line — there is no separate edit mode. The original line stays in history.

Checkout

  1. Review every line, customer/beneficiary, quantity and server price.
  2. Add cash, EFTPOS or HICAPS amounts. HICAPS must point to the exact service line.
  3. Voucher, package and coupon allocation is supported by the server but is not currently selectable in the POS checkout screen.
  4. Confirm with your PIN — this also opens the draft Sale; there is no separate Open step.

The server rechecks the active Business Period, cash drawer, prices, tax policy, stock, asset eligibility and total. If any check fails, no partial checkout is kept.

Free services

For an eligible service line in checkout review, choose the complimentary type and record a reason. Company free retains the work value and the actual performer's commission. Employee voluntary free removes that work value and commission from employee income; any commission already earned is offset by a recorded adjustment. Both choices remove the amount to collect for that line without creating cash or card receipts. Confirm checkout with your operator PIN. The decision and reason remain recorded even when the voluntary free amount is excluded from the daily work-income report.

Refund a service or reverse an entitlement

Open the closed Sale and use the action on the exact service line:

On a Visit, choose View sale and refunds and select the employee viewing it. This loads the Sale without keeping a signed-in operator; the refund still requires a fresh PIN.

  • If the line used a voucher, package or coupon, choose Reverse redemption first. This restores that entitlement; it is not a cash refund.
  • When no entitlement remains on the line, choose Refund service, enter an amount no greater than the displayed remaining tender and record the reason.
  • Choose the commission treatment: Keep, Proportional, Cancel remaining, or Set remaining commission. The last option is the final amount to retain: if commission was $100 and you enter $60, the system records a $40 reduction and retains $60. You may enter zero, but not more than the commission currently remaining. For work shared by several performers, the retained total is divided proportionally to their remaining commission, with cents allocated so the total is exact.
  • Confirm either action with your personal PIN. If the result requires provider review, the line shows a pending status instead of claiming that money was returned.

After success, the Sale reloads its server totals. Do not use the old Visit payment screen as a fallback. A failed request can be retried safely from the same open action. The operator and reason are recorded. A refund does not rewrite closed, approved or paid payroll entries; its commission reduction is carried to a subsequent open payroll period.

Receipt and invoices

One Sale produces a receipt summary, but each Sale line has its own Invoice. Open or print the separate Invoice links shown after checkout. A receipt is not a combined Invoice.

Receipt sequence numbers card-bearing checkouts within a store's Business Period, starting at 1. A checkout containing EFTPOS or HICAPS gets one sequence even when several services, cards or payment methods are involved. Pure cash, voucher-only and free checkouts do not receive this sequence. It is separate from terminal batch references and Invoice numbers.

note

Online payment, PayID/PayTo and automatic provider refunds are not active. Public and Kiosk carts are pay at store only.
