Magic Massage OS — User Guide

Magic Massage OS runs your massage studio from staff self-service to period close: rosters, clock records, check-ins, services, payments, refunds, cash drawer and Business Period settlement — all traceable, all in one system.

Why this system? POS records operator attribution and timestamps for operational actions. Under the current risk-based policy, sensitive actions require the operator's personal PIN; PINs must never be shared. Final Settlement creates a sealed, versioned reconciliation for the Business Period; payments, refunds and other financial records remain available for drill-down. Owners see real-time KPIs from their phone without touching daily operations. Three languages (EN / 中文 / ไทย) are built in. And Passkey login means managers sign in with a fingerprint — no passwords to remember.

This guide is one book in four parts:

How to use this guide

  • Steps are written as do-this-then-that lists. Interface names appear in bold (buttons) or code (things you type).
  • note

Boxes like this add context or explain why a rule exists.

  • warning

Boxes like this flag actions that are hard to undo — read them before proceeding.

  • Features vary by store. Chapters marked "if enabled for your store" (insurance, treatment records, payroll, tax invoices, credit accounts, approvals…) only apply if your plan includes them. If you can't see a menu described here, it is usually a permission or plan difference — see Admin FAQ.
  • Screenshots are being added progressively; text instructions are always authoritative.

The four faces of the system

Staff Portal is a personal view entered through a work-email sign-in link: read-only for schedules and pay, but you can submit and cancel your own future time-off requests. POS is used at the store, on an activated device, by staff with a PIN. Admin is used by managers and owners for configuration and oversight. The public website is what your customers see: they browse, book, manage their own appointments, buy vouchers/packages and leave a review of a closed visit from a passwordless customer account. It is covered here only where it touches your daily work (e.g. online bookings arriving on the POS appointment board).

Two more surfaces sit beside these four: the Assisted Kiosk — a public booking screen on an in-store tablet that feeds the POS walk-in queue — and the Platform console, used only by the vendor.
