Staff Portal quick start

Staff Portal is your private view of your own roster, clock records, pay figures and Store roles. You can also acknowledge a future shift, request time off and set your portal language — but everything operational still happens on the in-store POS. Use it on your phone to check information; use the in-store POS for clock-in, clock-out and all operational work.

Sign in with your work email

  1. Open the Staff Portal address supplied by your manager.
  2. Enter the work email recorded on your employee profile.
  3. Select Email me a sign-in link, then open the email on your device.

Each link works once and expires after 15 minutes; once opened, your session lasts 24 hours. If it expired or was already used, return to the sign-in page and request a fresh link. The confirmation screen looks the same even when an email is not recognised, so ask your manager to check your active employee profile and work email if nothing arrives.

Check your roster in My Week

My Week opens on the current Monday-to-Sunday roster. Use the arrows to move between weeks or This week to return. Each roster entry shows the Store, planned start and end times, status, and any note entered by your manager.

A future shift shows a Mark as seen button. Tapping it records the time you read the shift, which your manager can see; it is an acknowledgement, not an acceptance, and past or cancelled shifts cannot be marked.

My Week also lists customer-preference handoffs for your assignments — focus areas, pressure and areas to avoid. You can request a translation of the customer's wording into your portal language; the original is never translated automatically.

My Week does not change the roster. If a shift is missing or incorrect, tell your manager which Store, date and time you expected.

Review past clock records

Open Clock records to review the last 30, 60 or 90 days. Each record shows the Store, clock-in time, clock-out time and whether the shift is still open.

Clock in and out on the in-store POS with your own operator PIN. Staff Portal only displays the resulting records; it cannot start, end or correct a shift.

Understand your pay figures

Open Pay to see each available pay period, its Store, dates, status, net figure and commission, guarantee, bonus and deduction breakdown. If you worked at more than one Store in a week (Twin stores or a loan), your pay is calculated once at your home Store and the card lists each Store's commission and days.

Figures in an in-progress period are provisional and can change until the period is approved. The net figure includes any manual adjustment your manager has entered, and only the 24 most recent periods are shown. Staff Portal does not transfer money or change a pay record. For a question, note the Store, period dates, status and amount before contacting your manager.

Request time off

Open Time off to submit a request: choose the Store, a start and end date (today or later, up to 31 days long and no more than a year ahead) and, optionally, a time window. The request stays pending until a manager reviews it in Admin. You can cancel your own pending request; approved or past requests cannot be changed from the portal.

Check your Profile

Profile shows the identity used for this session and each active Store employment with its role, primary-Store marker, whether you are bookable online and your approved services for that Store. You can also change the portal language (English / 中文 / ไทย) — select it and Save; the choice is stored on the server and also sets the language of your sign-in emails — or Sign out. If a Store or role is missing or wrong, ask your manager to check your employment relationship in Admin.

Keep your POS PIN personal

Your email sign-in link opens Staff Portal; your operator PIN identifies you on the shared POS. Never share your PIN. Actions performed with it are attributed to you. If your PIN is locked after three incorrect attempts, wait 15 minutes or ask a manager to reset it.

What v1 does not do

Apart from time-off requests, shift acknowledgements and your language, Staff Portal v1 is read-only. It does not let you:

  • request a pay change;
  • swap or transfer a shift;
  • create, edit or approve a roster; or
  • perform visits, services, payments, refunds, clock-in or clock-out.

Ask your manager about roster, Store, role or pay changes. On the shared POS, select your own operator identity and enter only your own PIN whenever POS asks for verification.
