Services, rooms & therapists
Adding service items
Service items (name, duration, price, category) are configured by your manager in Admin. On POS you pick from that menu when creating a visit — or add another line to a running visit if a guest extends.
Assigning and changing the therapist
- Assign the therapist per service line when creating the visit. The picker keeps on-duty therapists in fair-queue order and marks the recommendation. An eligible customer request can become the recommendation without changing that independent order; choosing someone else requires a recorded reason — customer request, operational adjustment or temporary suitability.
- Mid-service handover → Transfer on the service line (PIN). The record shows both therapists with their actual portions — commission follows reality.
Occupancy rules
By default a therapist or a room can only run one service at a time. Attempting to double-book either gets a conflict error instead of a silent overlap.
Stores that deliberately run parallel services (e.g. one therapist alternating two rooms) can have the parallel services switch enabled by the manager in Admin → Store settings. With it off — the default — the conflict check protects you from accidental double-booking.

The room board
Rooms shows every room as a colour card, refreshing automatically (~30s):
| Colour | State | Notes |
|---|---|---|
| Teal | Available | Ready for the next guest |
| Red | Occupied | A service is running — the card links to it |
| Amber | Cleaning | Flip to available when done |
| Grey | Maintenance | Out of rotation |
Tap a room card to expand it and see its treatment stations. Room status is derived from its stations and cannot be set directly on POS. What you can change is each station's status, via its own dropdown: Available, Cleaning or Maintenance. A station with a service in progress shows as Occupied and cannot be given to another booking until the service finishes or is transferred.
Treatment stations
Each room contains one or more treatment stations — a Massage bed or a Massage chair. A room's capacity is its station count. Conflict checks for services and appointments run per station, not per room, and a station is what a service line (the Station field on New Visit) or a booking's Treatment station assignment actually reserves. The dashboard's Available Stations tile counts stations (beds · chairs), not rooms.
Mid-service changes
| Need | Action | Requires |
|---|---|---|
| Guest extends 30 min | Adjust → add time (price updates) | PIN |
| Price needs correcting | Adjust → set price | PIN, and role permission |
| Handover to colleague | Transfer | PIN |
| Line created in error | Void | PIN + reason |
Every adjustment supersedes the previous record rather than overwriting it — the paper trail is automatic.
Services with paid internal steps
In Admin → Services, edit the service and use Internal step commission to add step names and fixed amounts. For example, a store can configure “Prepare water” at $2 and “Empty water” at $3; other projects can use their own steps and amounts. Customers still buy one service. Configured steps replace ordinary service commission for that service. Changes apply to new visit service records; work already recorded keeps its saved configuration.
On the POS visit, Service step earnings lists each configured step. Select the employee who actually performed it and choose Complete step, then confirm with your operator PIN. The service must have started, and completed steps show the performer and amount. Two steps may belong to different employees or to the same employee. Only completed steps earn their configured fee, and all required steps must be completed before closing the visit.
Marking a returning guest
If your store tracks first-time vs returning guests for commission or stats, use Mark returning on the service line (PIN). It flags the guest relationship on the record without touching anything else.
